1. General
-
The Dutch Equine Art Fair is a curated exhibition dedicated to contemporary equine art.
-
The Dutch Equine Art Fair is organised by the Levend Paardenmuseum (Living Horse Museum), hereinafter referred to as “the organiser”.
-
The exhibition is curated by Paard Verzameld (Joyce Ter Horst). Applications and communication are coordinated by the curator.
-
All contractual, financial and legal matters are handled by the organiser.
-
Artists who apply and are selected for participation (hereinafter referred to as “participants”) fully and unconditionally accept these terms and conditions.
2. Application and selection
-
Applications must be submitted via the official application form.
-
A selection is made based on the strength, consistency and relevance of the body of work. The decision of the selection process is final.
-
Selected artists will receive confirmation via email. Applicants who are not selected will not incur any fees.
-
Upon acceptance, participants may be asked to provide additional materials for presentation and promotion.
-
The selection is based on the body of work as a whole rather than individual pieces.
3. Participation and confirmation
-
Selected participants will receive an invoice issued by the organiser.
-
Participation is confirmed upon receipt of payment, at which point these terms and conditions become binding.

Failure to complete payment within the stated term may result in the withdrawal of participation.
4. Withdrawal and cancellation
-
Requests to withdraw must be submitted in writing via the curator at info@paardverzameld.com and will be processed by the organiser.
-
Within five (5) working days of participation confirmation: no fee is due.
-
After five (5) working days and up to eight (8) weeks before installation: 40% of the participation fee is due.
-
Within eight (8) weeks of installation: the full participation fee is due.
-
Participants who fail to exhibit without formal cancellation remain liable for the full fee.
5. Exhibition space and presentation
-
Each participant is allocated an exhibition space with wall panels provided by the organiser.
-
Works must be presented professionally and in line with the exhibition standards.
-
Sculptors are required to provide their own white, stable pedestals.
-
Participants may distribute printed materials such as postcards and business cards within their space.
-
No unauthorised signage, posters or wall alterations are permitted.
-
The organiser, in consultation with the curator, reserves the right to refuse or remove any work that does not meet the exhibition standards.
6. Installation and dismantling
-
Participants are responsible for ensuring that their work is delivered, installed and collected within the specified timeframes.
-
Installation and dismantling times will be communicated in advance.
-
All works must be installed within the designated timeframe and fully ready before the opening.
-
All works must be removed immediately after the exhibition unless otherwise agreed.
-
Participants are responsible for transport, handling and packing of their work.
7. Artwork requirements
-
Participants may exhibit a limited number of works, depending on size and medium.
-
Works exhibited must correspond to the works submitted and approved during the selection process. Substitutions are only permitted with prior approval from the curator.

The organiser, in consultation with the curator, reserves the right to refuse or remove works that differ significantly from the submitted application or are not suitable for display.
All works must be:

original and of professional quality
-
consistent with the work submitted during application
-
ready for display
-
safe and non-hazardous
Maximum dimensions and technical requirements may apply.
8. Sales
-
Participants may sell their work directly.
-
No commission is charged on direct sales made by the artist.
-
If a sale is facilitated by the organiser on behalf of an absent participant, a commission will apply as communicated in advance.
-
Sold works must remain on display until the close of the exhibition, unless otherwise agreed.
9. Promotion and image use
-
Participants’ names and works may be included in promotional materials.
-
By participating, artists grant the organiser permission to use images of their work for promotional purposes without additional compensation.
-
Submitted materials may be used for communication and promotional purposes related to the event.
10. Insurance and liability
-
Artworks are covered under the organiser’s standard insurance policy during the exhibition period.
-
Participants are responsible for confirming the scope of coverage with the organiser.
-
Participants are responsible for transport and may arrange additional insurance if required.
-
The organiser is not liable for loss or damage outside the insured period or resulting from inadequate packaging or handling.
11. Fees and payment
-
The participation fee will be stated in the event information.
-
Payment must be completed within the specified timeframe.
-
Late or incomplete payments may result in exclusion from the exhibition.
-
Unpaid invoices may be subject to collection procedures.
12. Event changes and force majeure
-
The organiser reserves the right to cancel, postpone or modify the event if required due to circumstances beyond its control.
-
In the event of cancellation, participation fees will be refunded, minus any administrative costs where applicable.
-
If the event is postponed, participation remains valid for the new dates.
13. Conduct and exclusion
-
Participants are expected to maintain professional conduct throughout the event.
The organiser may exclude participants without refund if they:

violate these terms
-
behave inappropriately
-
present work that does not align with the exhibition standards
14. Complaints and disputes
-
Complaints must be submitted in writing within two weeks after the event via the curator and will be handled by the organiser.
-
The organiser is not responsible for disputes between participants and third parties.
-
These terms are governed by Dutch law.
Final note
By participating in the Dutch Equine Art Fair, participants acknowledge and agree to these terms and conditions.
